Sqwad is an app that I created for small businesses to keep track of employee timesheets, hours, scheduling, daily tasks, and team communication. While I was working as an employee at a small local gym in Boise, Idaho, I realized that there was a lack of organization and communication amongst our team. I wanted to create an easy and effective way to keep track of our job duties to help take stress off our manager’s shoulders.

While I was working at the gym, the method we used for keeping track of our daily job duties was checking off boxes on a piece of paper pinned to a clipboard (which we hardly used). We didn’t know if a task had already been done by another employee. If I wanted to know if I should perform a task, such as wipe down the machines, I would have to ask my coworkers if they already did it, or walk over to the machines and inspect them. This method was time-consuming and ineffective.
The Problem
The main challenge that I faced while creating the app was trying to figure out which features to include. I spent a lot of time speaking with my coworkers and manager to see which features were the most important to them. After lots of discussion, we decided that a time clock, daily task checklist, scheduling calendar, and messaging feature were the most essential features in order to create more efficient organization and communication amongst our team.
The Challenge
How might I design a positive experience to help small businesses stay more organized?
Ideation
I did some research by speaking with my coworkers and manager at the gym to get their perspective regarding the app. I sat down with my coworker, Kim, one afternoon and she walked me through her thoughts and opinions of what she hoped the app would do and look like. From our conversation, I received the following insights:
Someone should be able to “Create a Team” or “Join with an Access Code”
Add a clock-in and clock-out feature for employees to use to keep track of hours
Include a daily task checklist feature. Be able to check off items (shows employee’s initials)
Have a messaging feature where employees can communicate with each other (ask to switch shifts, etc.)
Add a scheduling/calendar feature so that everyone knows when their shifts are throughout the month. Include a “request time off” feature

The next step in the process was creating a Flow Diagram to depict how each page of the app would flow together. From the welcome screen, I wanted to give the user the option to either create a team, join with an access code, or simply login (if they are an existing user). For example, if a manager of a small business wants to register their business and create a team, they would go through the necessary steps. At the end, they would receive an access code to distribute to their employees. Their employees would use that access code to join that specific team or “sqwad.”
After everyone joins the team, they are granted access to their team’s dashboard. The dashboard consists of the time clock, scheduling calendar, daily task list, and messaging feature.
